Connect Odoo (your stock and orders)
If your stock and sales are in Odoo, connecting it lets Nasam read your quantities from it and sync them to your channels, and create the documents for the orders your warehouse ships.
Before you start
-
An Odoo plan that allows outside apps to connect. On Odoo Online that is the Custom plan.
-
An Odoo user with access to these apps:
App in Odoo What Nasam needs it for Inventory Reading warehouses and quantities Sales Sales orders Invoicing Invoices and credit notes -
An API key for that user. Create one in Odoo under your user's Preferences, then the Account Security tab, then New API Key. The key shows only once, so copy it immediately.
-
The same SKU in Odoo. Each product's Internal Reference field matches its code in Nasam exactly. Nasam reads the product's quantity and writes its order lines by it.
-
No other active warehouse on the brand. A brand has one warehouse on the «Warehouses» page.
Steps
Sign in to Odoo
-
On the «Warehouses» page press «Connect warehouse», and pick Odoo under «Warehouse».
-
Enter the sign-in details:
Field in Nasam Value Odoo address The address you open Odoo at, such as https://yourcompany.odoo.comDatabase On Odoo Online it's the part before .odoo.com, and it fills in from the addressLogin email The Odoo user's login email API key The key you created for that user -
Press «Check connection». A message with your company name and Odoo version appears, and you move on to «Setup».
Choose the warehouse and what Nasam creates
-
Under «Odoo warehouse», pick the warehouse that holds your stock and ships your orders.
-
Under «What Nasam creates in Odoo», choose the documents for each order your warehouse ships. Both switches are on when you connect:
Switch What Nasam creates Sales orders A confirmed sales order your warehouse ships from. Cancelling the channel order cancels the sales order; a return creates a return receipt your warehouse confirms when the goods arrive Invoices and credit notes A posted invoice for each order, and a credit note when the order is cancelled or returned With both switches off, Nasam creates nothing in Odoo, and stock is still read every hour.
-
Under «VAT on order lines», pick the tax. The list holds the taxes of the chosen warehouse's company, with its default tax already selected. Channel prices include VAT, so Nasam prices each line so its total with this tax matches what the customer paid. If Odoo has no sales tax set up, lines go out at the price paid with no tax.
-
Under «Channels», set the route for each channel's orders:
Option When to pick it Nasam sends Nasam creates the channel's order documents in Odoo Reaches Odoo directly The channel's orders reach Odoo another way, so Nasam creates nothing for them The list holds the channels whose orders you ship yourself; FBA and FBN orders are shipped by the marketplace and never pass through your warehouse. If every channel's orders reach Odoo directly, turn on «Odoo receives every channel's orders itself» at the top of the dialog.
-
Press «Connect».
Adopt the quantities
-
Under «Quantities», Nasam shows the listings whose quantities change if you adopt the warehouse's quantities. Keep «Adopt warehouse quantities now» on and press «Adopt & finish». If you turn it off and press «Finish », your current quantities stay as they are until the warehouse next receives stock.
If Nasam warns that listings would be raised above what the channel shows now, verify the warehouse's figure before adopting.
After connecting
The Odoo warehouse becomes the brand's stock source: every hour Nasam reads each product's available quantity at the warehouse you chose, meaning the quantity not reserved for confirmed orders, and updates all your channels with it.
For each order your warehouse ships, Nasam creates in Odoo what you switched on: a sales order, an invoice, or both. Each channel's orders sit under one customer named after it (such as Amazon customer), with the marketplace order number in the reference of the sales order and the invoice.
You change this from «Edit connection» on the «Warehouses» page:
- A change to the switches or the channels applies to new orders.
- An order Nasam created documents for gets them reversed when it is cancelled or returned, whatever the switches say.
- After «Disconnect», Nasam writes nothing in Odoo, not even the cancellation of an earlier order.
Product catalog
Odoo can be the source of your product data too. From «Edit connection», turn on «Use Odoo as your product catalog». Under «If you turn this on:» Nasam shows how many products would change and in which fields; then press «Use Odoo catalog».
Nasam then takes these fields from Odoo for every product whose SKU matches an Internal Reference in Odoo, out of Odoo's active products that can be sold:
| Field in Nasam | Where it comes from in Odoo |
|---|---|
| Name | The product name with its variant, such as Shirt (Red, M) |
| Arabic name | Its Arabic translation when Arabic is active in Odoo, or its name if it is written in Arabic |
| Barcode | Barcode |
| Weight | Weight, in kilograms or pounds |
| Category | Product Category, for a product with no category in Nasam |
- Nasam syncs every 6 hours, and when you press «Sync now».
- Your marketplace listings don't change. The change is to your products inside Nasam.
- Channels don't change these fields, and weight from a product info file isn't applied.
- A new item on a channel isn't created on its own: it waits for you in «Catalog mapping» under «New products», where you press «Add as new» or link it to an existing product.
- «Only in Odoo» counts Odoo products that have no product in Nasam. Nasam never creates a product from Odoo.
- «Barcodes in use» counts Odoo barcodes another product in Nasam already holds, so they aren't written. Correct the barcode in Odoo.
- Turning the switch off doesn't restore earlier values. Odoo's values stay, and the channels update names and barcodes on their next sync.
Common problems
These messages appear in the connect dialog after «Check connection»:
| Message | Fix |
|---|---|
| «Sign-in failed. Check the login email and API key.» | Make sure the email is the login of the user who owns the key, or create a new key for that user |
| «No database by that name at this address. Check the database name.» | On Odoo Online it's the part before .odoo.com in the address |
| «Couldn't reach Odoo at that address. Check it and try again.» | Copy the address from your browser while you're inside Odoo |
| «This Odoo doesn't allow outside apps to connect. On Odoo Online that needs the Custom plan.» | Upgrade the Odoo subscription to the Custom plan |
| «This Odoo user can't read sales, stock or invoicing. Give it those rights in Odoo.» | Give the user access to Sales, Inventory and Invoicing |
| «This Odoo has no warehouse this user can see.» | Give the user access to the company that owns the warehouse |
If you change the Odoo address or the database from «Edit connection», enter the API key again.
